A. Meeting was called to order by Youth Advisor, Katie Gilbertson.

B.Introduction of New Members that were present

D.Old/Unfinished Business

a.Update on Volunteer/Community Service- A pet supply drive will be done at the July show. Chloe Fisher volunteered to take items received from the drive to her local shelter.

b. 2016 Fundraisers/Fun Ideas

Ø  Logo Wear-Katie will work with her coworker again on this. Order forms & clothing samples will be available at the July show. Orders will be completed & to be picked up at the futurity show in September.

Ø  June Show- Madisyn Schemehorn & Chloe Fisher held a bake sale which raised $40.35. Thank you to those who brought items for the bake sale!  

Ø  July Show- Continuation with the pet/dog theme with the donation drive, Skylar Dahl will be organizing payback dog races & an obstacle course also. Skylar will get donations for a basket for the obstacle course winner. Also at the July show, Katie will rent a snow cone machine for $40 which includes the supplies. All donations will go back to the youth.

Ø  Futurity- Bribe your horse & leadless showmanship will be done this year. The prizes for the top 3 winners in leadless showmanship will be embroidered halters donated by Valley Vet. Discussion was made about securing other   donations for prizes.  Katie has been contacting sponsors for silent auction items again for this year.

E.New Business

a. Youth Club Group picture & Officers-    Members agreed to do a “youth club” group photo again this year at the July show. A photo of the youth officers will also be taken. Katie asked Karen O’Brien if she would be willing to take these pictures and she has agreed to do so. Thank you to Karen O’Brien for donating her time!

a.Volunteer/Community Service-  Thank you to those that brought in items for the pet supply drive. Chloe Fisher will be taking those items received from the drive to her local shelter.

b. 2016 Fundraisers/Fun Ideas

Ø  Logo Wear-. Order forms & clothing samples were available at the show. Orders will be completed & to be picked up at the futurity show in September.

Ø  July Show- A dog race was completed with only 3 dogs but those 3 dogs. Skylar secured donations for the winners. Snow cone sale also were done. $2 each with a profit of $15 from each. ($55 donations - $40 rental/supplies)

Ø  Futurity- Bribe your horse & leadless showmanship will be done on Friday night again just like last year. The prizes for the top 3 winners in leadless showmanship will receive embroidered halters donated by Valley Vet. A “celebrity” judge will be secured for the judging of this class. Tables are needed for the silent auction items as the club gets charged for everything that is used at the facility. If anyone is interested in bringing a table, please let Katie know.  

E.New Business

a. Erica Day- Fundraiser- Erica is working on 2017 WjPHC calendars with the youth pictures in it that will be sold at the banquet in January. The calendars will start with the month February. The plan is to order 50 and charge $10 a piece. Erica is working on securing sponsors for the front cover of the calendar which will cover the fees. Pictures are due to Erica by 9/1 in jpeg format. Note:

Jennifer Disch is resigning as WPHC Financial Officer as of December 31, 2016. Youth Advisor Katie Gilbertson will be taking over these responsibilities.  A new Youth Advisor will be needed for 2017.

b. High Point Saddle Program

  • Points for Recruitment of New Members- Katie passed out a form that is to be completed for “New” member recruitment for high point saddle points. This form must be completed by the youth member and also the new member and turned into the youth advisors. This form will be used for tracking of how many shows that the new member attends.

c. 2016 Fundraisers/Fun Ideas

  • Goffard’s Fundraiser- A job well done by the Goffard girls! The stall plate fundraiser raised $428.00!
  • Logo Wear- Youth would like to do another clothing order like last year. Katie will work with her coworker again on this.  Suggestions of items were athletic half zips, hoodies, t-shirts, baseball hats. Color suggestions were maroon, navy, teal, and turquoise.  More to follow at next meeting.
  • June Show- Madisyn Schemehorn & Chloe Fisher will be holding a bake sale. Youth are asked to bring baked items already individually wrapped or in baggies.

  • Futurity- Suggestion was made to do bribe your horse again like last year along with leadless showmanship. Donations will be needed to be secured. Skylar Dahl & Chloe Fisher have volunteered to secure some.

E.New Business

a. In the “SPOT”light- Katie showed the current “In the SPOTlight” feature of Skylar Dahl. This will be featured on the youth Facebook page and also on the clubs website.

b. Website Changes- Katie passed showed the current changes to the club website for the youth section which now features drop down menus. (Youth Meeting Minutes, High Point Youth Saddle, WjPHC Facebook Page, In the “SPOT”light, & Youth Scholarships)

D.Old/Unfinished Business: 1) Katie provided a handout on recap of 2015 fundraisers.

2)Facebook Page & Closed Group Page: Spread the word! Invite your friends! Don’t be afraid to post on there or message myself or other admin, youth president. It’s supposed to be used as a communication tool! 3) National AjPHA Director nomination for Brittany Disch was sent in November. Brittany hasn’t heard anything yet from AjPHA.

Roles will be defined for each of these positions. Will work on these roles. Mandatory meeting attendance will be required by officers unless excused by youth advisor.

F.New Business :1) Katie wanted to make a big shout out to Devan Knipfer of Devin Design for donating her time to create the new WjPHC Logo & the ad in 2016 WPHC directory. 2)Volunteer/Community Service: Discussion was made about volunteer/community service project for this year. Suggestion was to volunteer at a horse rescue place. This item was tabled until the next meeting.

3) Recruitment of New Members for High Point Saddle Program

WjPHC new members must meet the following criteria.  1. Must be a current member, in good standing with the club. 2. Must attend more than 1/2 of the WPHC shows for that season. 3. Must attend more than 1/2 of all WJPHC meetings held in that season.  4. Must participate in over 1/2 of all fundraisers held by the WJPHC in that season. 

4) High Point Saddle Program

Our club will once again be offering the chance to win our Youth All-Around High Point saddle.  This is a JR Wenger work saddle, valued at approximately $1600.  We also offer a Reserve High Point award of $500 cash, or an equivalent custom prize- winner’s choice.  The deadline for our saddle contest entry is April 30th- the first day of our first WPHC show.  If you do not have signed saddle contest intent forms turned in to the show office or Katie Gilbertson by that day, you will be unable to compete for the saddle in 2016.  Forms will be available at the show entry desk, or you can find them online on the WPHC website.  Fundraising ideas must be approved by Katie Gilbertson by April 30, 2015 to be considered for the 2016 saddle contest.  Signup sheets & rules will be sent out to individuals with the meetings minutes.

5) 2016 Fundraisers/Fun Ideas: Katie provided a handout with fundraiser ideas. Discussion was made on a few ideas. Fundraiser ideas will need to be finalized by the end of the first show. Catherine Goffard shared a few ideas one in which will be starting soon so that the orders will be available for pick up at the first show. This fundraiser will be customized emergency stall cards. Order forms will be coming soon.

G. Meetings

WJPHC meetings for the rest of the year will be held at our shows.  The first one will be April 30th, Saturday after youth trail is completed. Saturday was chosen as some individuals are not yet to the show grounds on Friday nights.   

 

Thank you goes out to all the youth members & individuals who helped at the banquet with the auction items. Also to our generous donations of awesome baskets! Total we raised $1,230! $291 in centerpieces & $939 in baskets! Good job guys!
